Office 365 Migration Comparison

cynergies - 4 optionsLast week we discussed how to prepare for Office 365 migration in our blog. In addition to preparing for migration, you will have to choose which type of migration is best for your office/business. There is a variety of options available. It is important to understand the similarities and the differences between these options when meeting with the IT team of professionals you have contracted to perform the migration. Here is a summary of four options:

  • PST Migration
  • IMAP Migration
  • Cutover Exchange Migration (CEM)
  • Stage Exchange Migration (SEM)

PST Migration: An option for customers using Outlook independent of mail systems

Allows:

  • Either user-driven or IT migration
  • Users to migrate content on demand
  • The choice between importing to either mailbox or archive
  • New service mailbox in cloud, Outlook profile, and caching

Requires:

  • Central PST capture console installation
  • Agent on client computers for capture and migration

Migrates:

  • Mail
  • Calendar
  • Contacts
  • Tasks

Migration Flow

  1. Provision users plus mailboxes in Office 365 ( license assigned)
  2. PST Creation
  3. Install and configure PST Capture
  4. Discover PST Migrate PST
  5. Change MX record
  6. Configure Outlook

IMAP Migration: This option provides support for a broad span of email platforms

Allows:

  • Generous number of source mail systems
  • On-premises or hosted systems
  • Batch migration
  • Exclusion of specific folders from migration (deleted files, Junk e-mail, etc.)

Requires:

  • Access to IMAP ports (TCP?143/993)
  • Provisioning users + mailboxes before migration
  • Bulk provisioning, CSV parse, manual, etc.
  • SMTP domains configured in Office365 tenant
  • Preparation of CSV file with list of users (limited to 50,000 rows and 10MB in size)
  • Setup admin credentials

Migrates:

  •    Mail messages (inbox and other folders – up to 500,000 items)

Will not migrate:

  • Calendar, contacts, or tasks
  • Folders with a forward slash in name
  • Messages larger than 35MB

Migration Flow:

  1. Provision users +mailboxes in office365(license assigned)
  2. Gather  IMAP creds and prepare CSV
  3. Wizard: Enter server settings and upload CSV
  4. Initial sync
  5. Delta sync every 24 hours
  6. Change MX record
  7. Mark Migration as complete
  8. Final sync and cleanup

Cutover Exchange Migration (CEM): High-fidelity solution that provides a fast, cutover migration for organizations that want an all-at-once full migration

Allows:

  • Migration without a tool or computer on-premises
  • Complete mailbox content migration
  • Users to be provisioned automatically during migration
  • Works with on-premises or hosted Exchange systems
  • Cloud identity management

Requires:

  • Exchange 2003 and newer
  • No more than 1000 mailboxes in source system
  • Outlook Anywhere service on source system (must have SSL certificate issued by a Public CA)
  • Migration Account with Full Access or Receive-As permissions to all migrating mailboxes
  • Directory Sync tool will be initially disabled in Office 365 tenant
  • SMTP domains configured in Office365 tenant
  • All mail to be downloaded from the Office 365 mailbox

Accounts and passwords:

  • Migration creates users, mailboxes, DLs, and contacts
  • Migration enables replies to migrated messages (i.e. provision process brings over the Legacy DNs)
  • New passwords are created for all users - no access to passwords from source directory
  • A link to download passwords is sent to admin
  • Users must change password on their first login

Migrates:

  • Mail messages and folders
  • Rules, categories,
  • Out-of-office settings
  • Calendar (normal, recurring)
  • Contacts
  • Tasks
  • Delegates and folder perms
  • Outlook setting (e.g. favorites)

Will not migrate:

  • Security Groups, DDLs
  • System mailboxes
  • Mailboxes enabled for unified
  • messaging
  • Dumpster
  • Send-as Permission
  • Messages larger than 35MB
  • OST file (must be recreated)

Migration Flow:

  1. Configure Outlook Anywhere
  2. Test using ExRCA
  3. Assign migration perms
  4. Wizard: Enter server settings and admin creds
  5. Migration tool, provisions, users mailboxes, DLs, contacts in Office365
  6. Initial sync
  7. Delta sync every 24 hours
  8. Change MX record
  9. Mark migration as complete
  10. Final sync and cleanup
  11. License users

Stage Exchange Migration (SEM): Option well suited for organizations who want to migrate in batches

Allows:

  •  Migration without a tool or computer on-premises
  •  Simple, flexible, full-mailbox-content migration
  • Unlimited number of mailboxes
  • Batch migration – up to 1,000 per batch

Requires:

  • Directory Synchronization with on-premises AD
  • Exchange 2003 or 2007
  • Identity management on-premises
  • Outlook Anywhere service on source system (must have SSL certificate issued by a public CA)
  • Migration Account with Full Access or Receive-As permissions to all mailboxes that will be migrated
  • Enabled Directory Sync tool in Office 365 tenant
  • SMTP domain(s) configured in O365 tenant
  • All mail is downloaded from the Office 365 mailbox

Accounts and passwords:

  • RequiresMEU or Mailbox in Office 365 to enable migration of every on-premises mailbox Migration tool relies on DirSync to do provisioning
  • Target mailbox passwords must be specified for all the users
  • Administrators can force users to change passwords on first login

Migrates:

  • Mail messages and folders
  • Rules and categories
  • Out-of-office settings
  • Calendar (normal, recurring)
  • Contacts
  • Tasks
  • Delegates and folder perms
  • Outlook settings (e.g. favorites)

Will not migrate:

  • Security Groups, DDLs
  • System mailboxes
  • Dumpster
  • Send-as permissions
  • Mailboxes enabled for unified messaging
  • Messages larger than 35MB
  • Partial migrates (folder exclusion, time range)
  • Existing cached-mode files (OST files)

Migration flow:

  1. Configure Outlook Anywhere
  2. Test Using ExRCA
  3. Assign migration permits
  4. Configure Directory Sync
  5. Wizard: Enter server settings and admin creds
  6. Initial sync
  7. Delta sync every 24 hours
  8. Change MX records
